Public Event Policy

Public events are an important part of the solar car team's activities. Though we would like to participate in every event that we are invited to, the sheer number of requests we receive each year makes that impossible. Our team is a non-profit organization with few funds to complete a costly research and development project. Furthermore, our organization is comprised of students whose first priority is the successful completion of their studies. These policies have been implemented to protect those interests and to ensure that the team can participate in as many events as possible.

On Campus Events

  • Events are scheduled on a first come first served basis.
  • Requests must be submitted a minimum of 3 business days before the event.
  • Presentations involving the car will be at the Student Design and Experiential Learning Center Shop.
  • Displays involving the car at other locations are by special arrangement only - these displays require a minimum of 5 business days notice.

Events Within 100 Miles of Rolla

  • Events are scheduled on a first come first served basis.
  • Requests must be submitted a minimum of 2 weeks before the event.
  • Minimum of $100 dollar donation to the team.
  • Additional donation of $0.50 per mile roundtrip if outside the city of Rolla.
    Note: If your event is more than one day long or would require an overnight stay, please see Multi-Day Trips.

Multi-Day Events and Events over 100 miles from Rolla

  • Events are scheduled on a first come first served basis.
  • Requests must be submitted a minimum of 2 weeks before the event.
  • Minimum donation of $200 for the first day and any additional days that require an overnight stay. A donation of $100 dollars is requested for any additonal days which do not require an overnight stay.
  • Additional donation of $0.50 per mile roundtrip.

  • When making a request, please include the following information:
    • Your name and position
    • Organization you're representing
    • Name/type of event
    • Date, time, and location of the event
    • How we can contact you
    • Any additional information you feel would help in planning
